What to include when you write

Giving us these up front usually saves an entire round of emails:

  • The email address you booked under, if you are already a client.
  • Roughly when your appointment was.
  • For a correction, the letter itself plus the exact wording your managing agent or board asked for. Boards are specific, and quoting them verbatim gets it right first time.
  • For a billing question, the date and amount as they appear on your statement.

What to leave out

Please keep clinical details out of email and chat. Neither channel is the right place for them. Bring anything of that kind to your consultation, which runs over an encrypted, HIPAA-aligned connection.

If we get something wrong

Tell us first and give us a chance to fix it. If we cannot, you have real options and we are not going to hide them. Complaints about a clinician go to the New York State Education Department's Office of the Professions, or the Department of Health's Office of Professional Medical Conduct for a physician. Consumer complaints go to the State Attorney General's Consumer Frauds Bureau. Health privacy complaints go to the HHS Office for Civil Rights. All four are listed below.

Do you take phone calls?

We work through chat, email and scheduled video or phone consultations, which keeps clinicians available for appointments rather than switchboard duty. Ask by email and we will arrange a call-back where a question genuinely needs one.

Should I email you my medical records?

No. Email and chat are not the right channel for clinical information. Bring it to your consultation, which runs over an encrypted, HIPAA-aligned connection.

How do I move my appointment?

Use the link in your booking confirmation, or write to support and we will move it. There is no rescheduling fee.

How do I ask for my records or a deletion?

Email support with 'Privacy request' as the subject. Our privacy policy sets out what you can ask for and the timeframe.
